About our Trips

Our trips presented here are mostly adventure travel, including travels to remote regions, always with a cultural note including local customs and some involvement and connection with nature.

As such, there are risks and dangers which can arise which are not included in a traditional trip. These may be: physical effort for which you may not be prepared; Weather conditions subject to sudden changes; lack of conventional medical support due to being in remote regions; difficulty in evacuating in the event of an accident, etc. Travel is subject to setbacks, so your itinerary and services during the trip may change without notice due to local circumstances such as illness, political problems, border difficulties or unforeseen circumstances. No remuneration will be given for services that are not used.

You will not be asked to undertake a trip for which you have no capacity for, nor to make superhuman efforts, but having an adequate physical and psychological condition for the trip that will be carried out, is necessary.

It is essential for the traveller to be flexible, to have an open and optimistic state of mind, to face the possible setbacks which may occur: do not expect to find the comfort and hygiene conditions you are used to, namely in mountain shelters, cabins or hotels; food (often) is in line with local habits and customs, making it impossible to eat anything else.

If you are not an active, versatile and curious person, and if you are not used to setbacks, or disagree with any of the above, it is preferable you not travel with Hodophile Experience.

Cancellation Guidelines

All our trips are custom made and each consists of different elements packaged into bundle.
Therefore, cancellations may have an adverse impact on remaining group experience.

Cancellation policy applies to original dates of the trip only. In case of travel date modification, for any reason, we are unable to offer any refunds.
Hodophile Experience may cancel the activity in the following situations:

• In the event that, by the registration deadline, the minimum number of participants has not been reached.

• Due to lack of safety, weather or other circumstances inevitable and exceptional.

The termination of the travel contract by the agency, under the terms mentioned above, entitles the traveler to a full refund of the payments made.

In the event of cancellation of the reservation by the customer, here is the list of general guidelines. Please do contact us for trip specific details.

• 5- 3 weeks to departure – free name replacement or 75% refund, unless flight tickets have been issued, for which the airline policy applies.

• 3 – 2 weeks before travel: participant to find replacement at EUR150 extra or 50% refund, unless flight tickets have been issued, for which the airline policy applies.

• Less than 2 weeks to travel – no refund.

• Up to 5 days before the event, for 1-day events, or events that do not include services such as overnight and accommodation.

To the above-mentioned conditions, the following safeguards apply:

• In the case of sold-out events, Hodophile  Experience does not issue refunds for amounts already paid.

• If Hodophile Experience has already made commitments to third parties, you may not receive refund of the full amount.

Visa rejection 

Hodophile Experience cannot be held responsible against refusal of entry due to non-compliance to foreign country visa policy for any reason. It is a sole responsibility of each individual traveller to assure the entry to the country of destination.

We cannot make exceptions to the policy for any reason including personal emergencies, unexpected weather, natural disasters or any other force majeure. Hodophile Experience reserves the right to cancel any trip using its discretion if the safety of our travellers or staff should be compromised.

In the event of cancellation, Hodophile Experience is not responsible for any loss incurred for non-refundable travel costs. In this case, refund of payments will constitute full and final settlement. We always recommend purchasing travel insurance to protect your adventures.
Every participant on the trip is obliged to sign a waiver upon the confirmation of travel. It is considered that every participant joining the trip has acknowledged and accepted the terms of waiver, even if failed to send a copy.

Any full cash refund is a subject of administration fee of 10%. Credit towards other trip is free from administration fee.
