CANCELLATION GUIDELINES

All cancellations must be received in writing and will be acknowledged in writing by Hodophile Experience. The date of cancellation will be the date we receive your written notice.

HODOPHILE EXPERIENCE — CANCELLATION SITUATIONS

In the unlikely event that Hodophile Experience needs to cancel a tour due to insufficient bookings or circumstances beyond our control, you will receive a full refund of all payments made to us. We are not responsible for any additional costs you may have incurred, such as non-refundable flights or accommodation booked independently.

CANCELLATION AND REFUND POLICY

If you need to cancel your booking, the following refund schedule applies:

All refunds will be processed within 14 business days of the cancellation request being confirmed in writing.

We are unable to make any additional refunds to those mentioned above, even if cancellation is made as a result of force majeure which includes -but is not limited to- acts or threats of war, government action, strike, civil unrest, fire, failure of public utilities, medical emergency, natural or nuclear disaster or airport closure. You may be able to recover the majority of the cancellation fees under the terms of your holiday insurance policy: we strongly recommend you get one.

PS: Flight tickets and ferry tickets are not included in the above cancellation policy. Once your program is confirmed and flight/ferry tickets are purchased, any changes on the dates of the flight program will incur a change fee or in case of cancellation (this is additional to the service fee), a 100% cancellation fee for the flight tickets will be incurred regardless of the above cancellation policy.

TRIP INTERRUPTION & PARTIAL CANCELLATION

No refunds will be made for unused portions of the tour once travel has commenced. In the event of a trip interruption due to illness, injury, or personal circumstances, we strongly recommend that you hold comprehensive travel insurance that covers trip interruption and curtailment.

VISA REJECTION

In the event that your visa application is rejected, Hodophile Experience will refund all payments made, minus any non-recoverable costs already incurred on your behalf and an administrative processing fee. We strongly recommend applying for your visa well in advance of your departure date.
